eezySchedule is an APPOINTMENT SCHEDULING TOOL that helps you:


(1) Identify the best time for a group of people to meet.
  • This is especially useful for project teams, departments, collaborations etc but even more so if one or more of the group does not work in your department or company.
  • It works by allowing you to set up a series of dates and times in a poll format that your team members vote upon so that you can see which are the most / least popular times for a given meeting.
  • eezySchedule has extensive capabilities that allow you to go back and edit all elements of your polls, restart voting, allow people to change their votes etc.

(2) Allow others to book appointments with you
  • This is achieved based on a range of timeslots that you make available to people in your eezySchedule online calendar.
  • This calendar is completely separate from any other existing Calendar that you have (e.g. Google, Apple, Outlook) and so in no way permits anyone to view your existing calendar.
  • When someone books you, the appointment will appear in your eezySchedule online calendar and you will also receive appointment files on email that you simply double-click to accept into your existing calendar. Hence, you can manage your appointments in the medium that best suits you.

eezySchedule combines both one-on-one appointment booking and group meeting-time polls in a single tool. Each capability is built to stand fully on its own — you can use eezySchedule for just one of the two and get a complete, dedicated tool for that job, or use both together if your needs cover each.

eezySchedule combines two capabilities in one product, so you don't need two separate tools:

  • Appointment booking — a public booking link others use to book a slot directly on your calendar.
  • Meeting polls — suggest a set of possible dates/times to a group and have them vote on what works, with support for overlapping timeslots (e.g. offering 09:00-12:00 AND 10:00-13:00 AND 11:00-14:00 as options for a 3-hour meeting, not just fixed non-overlapping slots).

eezySchedule is genuinely feature-rich — the Pricing & Features page lists 82 individual features across both plans, built specifically to make sure it's a solid, dependable appointment scheduling tool from day one, not a bare-bones starting point. A few things that stand out:

The purpose of an eezySchedule poll is to suggest a set of possible meeting dates / times to meeting participants and to have them indicate which timeslots suit them best. You can set up as many polls as you wish, there is no limit.

Setting up a poll

  • From the Menu page, click the 'New Poll' button to access the poll set-up screen.
  • On the first of three steps, you fill in the poll details, such as meeting name, description, venue, address and timezone and then indicate which dates you wish to include in your poll.
  • On the second step you will set the meeting duration and add timeslots to each of the days, maintaining full control over how many timeslots you wish to add.
  • eezySchedule permits you to include overlapping timeslots and this is a particularly powerful feature. E.g. you wish to schedule a 3 hour appointment and will be able to not just suggest 09.00-12.00 followed by 12.00-15.00 but also 10.00-13.00, 11.00-14.00 etc, hence providing extensive flexibility to your list of possible meeting times. Note that Step 2 has a built-in Tutorial that walks you through how that step works, please check it out!
  • On step three you can decide on a few additional options such as whether to add 'Maybe' as a response alongside 'Yes' & 'No', whether to permit poll participants to go back and edit their votes later, also to receive a record of their votes on email and, finally, whether to make the poll results private (for you only to view) or public (allowing anyone who voted on the poll to be able to view the Poll Results subject to them confirming their email address on the Poll Results page).
  • There is an optional fourth step which allows you to enter email addresses of participants and to have the Poll Voting Invitation sent directly off the site as the poll is created.
  • You have now created your poll!

Voting on Polls

  • When you create a poll you will receive a web link to email to your meeting participants. The link can either be sent as part of the poll creation process or can be done at any later time by accessing the link through your Poll Dashboard page.
  • Meeting participants will enter their name and email address before registering their votes on the calendar-type interface. They can optionally decide to receive their votes on email and can (if you've set the poll up to do so), return later to edit / update their votes.
  • When voting, the person can opt to view the timeslots in any timezone of their choice.

Viewing Poll Results & Sending the Appointment

  • The Poll Results link can be accessed via your Poll Dashboard by clicking the selected poll and clicking the 'View Results' button in the Poll Information window.
  • The Poll results page provides two different views of your data to suit individual preference, one being in calendar form and the other a table form.
  • Poll Results can be viewed in any timezone of your choosing.
  • You will be able to see who voted for which timeslots and filter the results to highlight the results for specific individuals, e.g. 1 or more people who you know must be at your meeting.
  • When you make a decision about which timeslot to use for your meeting you will be able to directly email all voters from the Poll Results page, with them receiving an appointment email to accept into their personal calendars.

Poll Dashboard

  • A particularly powerful feature is the Poll Dashboard which allows you to scroll through a list of all polls, search them or select them and interact with the poll results and voters.
  • You can directly edit the Poll Meta-Data, access the Poll Voting or Poll Results links, email all voters or even go back round the loop and conduct a full edit of the poll.
  • Poll Statistics are also available on the Poll Dashboard page, allowing you to see aggregated data across all of your polls.

Various terms are used when working with polls and these include:

  • New Poll page: Accessed from the Menu page or via the Menu dropdown, this is where you start when creating a new poll.
  • Poll Timeslots: After setting the poll's basic information (Meeting Name, Description, Venue, Map Location) and dates on Step 1, you will enter Step 2 where you need to provide 'Possible Meeting Time' options for people to vote on. These options are added in the 'Timeslots' side-bar by clicking the various start-time buttons. E.g. a timeslot could be 09.00-10.00.
  • Timeslot Overlaps: By switching the Overlaps toggle switch to 'On' you can choose to present overlapping timeslots to be voted on, e.g. 09.00-12.00 at the same time as 10.00-13.00 and 11.00-14.00
  • Timeslot Fill: Switching the Fill toggle switch to 'On' allows you to simultaneously add timeslots to the poll that fill all the open diary space on that day after the clicked start time. So, if you add a one hour timeslot for 09.00-10.00 with the Fill switch set to 'On', it will immediately add timeslots at 10.00-11.00, 11.00-12.00 etc through to the end of the day without you needing to go click all of these timeslot buttons.
  • Timeslot Clone: With the Clone switch set to 'On', any timeslot added to one day is immediately added to all other days. It is possible to switch both Fill and Clone on at the same time and, with a single click of the 09.00-10.00 timeslot button, the entire date range will be automatically filled with one hour timeslots for you.
  • Poll Option - 'Allow Maybe': Switching this to 'On' means that poll voters won't just see poll-voting options of 'Yes/No' but also a 'Maybe' option so that they can indicate that a timeslot might work for them (e.g. it is not their first choice).
  • Poll Option - 'Vote-Editing': Switching this to 'On' means that poll voters can return to the poll voting page after they have voted in order to resubmit or edit their votes. It is advised to keep this set to 'On'.
  • Poll Option - 'Poll Email Alerts': When set to 'On', you, as Poll Creator, will receive an email every time someone votes on your poll so that you can keep track of who is voting. Basic voting statistics are included in these emails. Keeping this switch set to 'On' helps remind you that a poll is still open and helps you to decide whether you should promote the Poll once again (e.g. if you feel that voting is slow).
  • Poll Option - 'Public View Rights': Switching this to 'On' means that anyone who voted will be able to view the Poll Results (subject to them confirming their email address on the Poll Results page). People who have not voted will not be able to view the Poll Results. It is advised, for privacy reasons, to keep this set to 'Off'.
  • Poll Dashboard page: Accessed from the Menu page or via the Menu dropdown, this is where you go to scroll through a list of all your polls. You will be able to access information on a per-poll basis, change its settings and get links to its voting & results pages.
  • Poll Voting page:
  • Accessible via the Poll Dashboard page on a per-poll basis, this is a web link to where people can go vote on your poll. You should share this link with everyone who is a possible meeting participant.
  • Poll Results page: Accessible via the Poll Dashboard page on a per-poll basis, this is a web link to where you can go view the results of your poll, see who voted for which timeslots and select a workable date & time to communicate to poll participants for the meeting to happen on.

From the Menu page, click to visit your Poll Dashboard page and then, by selecting a poll, you can:

  • Opt to quickly edit the poll's meta data such as name, venue, description etc.
  • Opt to conduct a full poll edit. This takes you back through the individual poll-creation steps and allows you to change any of the settings and re-save the poll.
  • Copy the Poll Voting URL to your clipboard so that it can be shared with others.
  • Click to view the latest Poll Results.
  • Delete the votes of a single Poll Voter.
  • Delete the votes of everyone who voted on the poll so that you can re-start voting.
  • Send an email to anyone who voted on the poll.
  • You can also access your personal 'Poll Statistics' and see a wide range of metrics about your usage of the polls feature.

Yes — you can add or remove timeslots, rename the poll, or update settings at any time.

  • Start at your Poll Dashboard page, locate the poll of interest and click it to open up the poll's information window.
  • You have two ways to edit the poll, a 'Quick Edit' mode that allows you edit the Poll Meta-Data such as its name, description and venue, and a 'Full Edit' mode that allows you go fully back around the poll set-up loop and edit everything about the poll.
  • A powerful feature is that you can add or remove timeslots to/from your poll and, assuming the poll is set-up to allow voters to edit their votes, you can re-email the Poll Voting link to your meeting participants and have them either vote again (which will replace their previous votes) or edit their existing votes.

The Poll Results link can be accessed via your Poll Dashboard by clicking the selected poll and clicking the 'View Results' button in the Poll Information window.

  • The Poll Results page provides two different views of your data to suit individual preference, one being in a Calendar form and the other a Table form.
  • You will be able to see who voted for which timeslots and filter the results to highlight the results for specific individuals, e.g. highlight timeslots where one or more people, who you know must be at your meeting, have voted for the timeslot.
  • When you make a decision about which timeslot to use for your meeting you will be able to directly email all voters from the Poll Results page, with them receiving an appointment email to accept into their personal calendars.
  • To send the appointment email when in Calendar View: click the selected appointment and then, in the pop-up window, click the relevant button to either have the voting results for that timeslot emailed just to you or to have the whole appointment emailed to all voters.
  • To send the appointment email when in Table View: click the envelope icon underneath the time of the selected appointment and then, in the pop-up window, click the relevant button to either have the voting results for that timeslot emailed just to you or to have the whole appointment emailed to all voters.
  • You can of course also send the appointment email from your normal email software package. By sending the email off the site though you will have full meeting details, including the Google Maps link (if set).

No, such emails blind-copy (BCC) all poll participants.

On Poll Set-Up you have an option on Step 3 to set the Poll Results as either Private or Public

  • Private Polls only allow you, as the Poll Creator, to view the Poll Results.
  • Public Polls allow anyone who voted on the poll to be able to view the Poll Results subject to them confirming their email address on the Poll Results page.
  • Whilst a warning message is provided for Poll Voters on the Poll Voting page for Public Polls to alert them to the fact that others could see how they have voted, it is generally considered best-practice to make polls 'Private' from a privacy perspective.

The 'Book-Me' feature is used to provide a publicly viewable calendar that others can select appointments from and book you online, without ever having to publicly share your own, personal calendar.

Let's walk through an example of how this works in practice:

  • You have several candidates that you wish to interview for a Sales Manager position at your company and you wish to run the interviews next week between Wednesday & Friday (), giving the interview candidates the ability to select the date & time that works best for them.
  • From the Menu page you select the 'Bookings Setup' option and this provides you with a page consisting of 4 tabs.
  • On the 'Booking Types' tab you create a new Booking Type called 'Interview for Sales Manager'.
  • On the 'Calendar Setup' tab you select the 'Interview for Sales Manager' Booking Type and then set a few options, one of which is to select Wednesday to Friday of next week () as your dates, following which you click through to Step 2 to setup your desired times. Note that Step 2 has a built-in Tutorial that walks you through how that step works, please check it out!
  • You first set the duration of interview (e.g. 2 hours) and then you place 2 hour appointments, known as Booking Slots, onto Wednesday, Thurday & Friday of next week in whichever manner you wish. E.g. different times on different days could be important to you with no Booking Slots after lunch on Friday.
  • Once the dates and times are set & saved, you click the 'Create Booking Link' button and this leads you through to the issuing of a 'Booking Link' for your meetings.
  • You email the Booking Link to the interview candidates and ask them to select the timeslot that works best for them, requesting them to go ahead and submit a booking.
  • What's important to note is that when the candidate clicks the Booking Link in your email and views your online calendar, they will ONLY be able to see the dates and, on those dates, they will ONLY be able to view the Booking Slots for the Booking Type 'Interview for Sales Manager'. So if you have a different Booking Type with Booking Slots on any of those dates, they will not be visible to the candidates. Note that this all happens without your own, personal calendar, ever being shared online.
  • Once a booking has been submitted, the interview candidate and yourself (as Calendar Owner), will immediately receive an email with the full appointment details and, by clicking the appointment file attached to the email, can accept the appointment into your own, personal calendars (e.g. Apple, Google, Outlook etc).
  • As soon as a Booking Slot is booked by one candidate it will immediately become unavailable for any other candidates and will no longer be visible at the Booking Link.
  • You then visit your 'My Bookings' page off the Menu page and will be able to view all Booking Slots, whether booked or not and choose to interact on email with the interview candidate directly from the interface.
  • Should you wish to add or remove available Booking Slots at any time, you can go back to where you initially added the Booking Slots and conduct the edits.
  • So, in essence, you set the Booking Slots up via the 'Bookings Setup' Menu option and you view the status of bookings on the 'My Bookings' Menu option.
  • The Book-Me feature frees you up from having to call around or handle email correspondence on available times and will save you enormous amounts of time each year that, quite literally, can be better spent in our demanding work environments.

The Book-Me feature uses several important terms that help you understand how online bookings work:

  • Booking Types: These are the meeting or appointment types that you wish people to book you for. Examples include 'Sales Manager Interview', 'Weekly Sales Update', 'Budget Meeting', etc. Booking Types are created and managed on the Booking Types tab.
  • Calendar Setup Tab: This is where you select the dates on which people may book you and place Booking Slots onto those dates. Step 1 selects the Booking Type and dates (e.g. Wednesday to Friday of next week ), while Step 2 is where you add the actual Booking Slots.
  • Booking Slots: These are the timeslot options that you present to people wishing to book you. A Booking Slot represents one possible appointment time (e.g. 10.00–12.00). Booking Slots can differ per day and are added on Step 2 of the Calendar Setup tab.
  • Timeslot 'Fill': A toggle switch on Step 2 of the Calendar Set-up tab that, when switched on, automatically fills the remainder of the day with back-to-back Booking Slots starting from the selected time. This allows rapid creation of multiple consecutive Booking Slots.
  • Timeslot 'Clone': A toggle switch on Step 2 of the Calendar Set-up tab that, when switched on, automatically clones a newly added Booking Slot to all selected dates. This allows you to add the same timeslot to every day with a single click.
  • Booking Links: These are the public website links that you send to people so they can book you online. Booking Links are generated after you finish adding Booking Slots on Step 2 of the Calendar Setup tab.
  • Fixed-Date Booking Links: These links always show the exact same set of dates, no matter when someone visits them. For example, a link may always show even months later.
  • Rolling-Date Booking Links: These links show dates based on a pattern (e.g. 'Current Week', 'One Week Starting Today', 'Current Month'). The displayed dates automatically adjust depending on when the link is visited.
  • Current vs Expired Booking Links: A Booking Link is 'Current' if today's date is included in the displayed calendar. It is 'Expired' if all displayed dates are in the past. Rolling-Date links never expire.
  • My-Bookings page: This page displays your eezySchedule online calendar. You can scroll through weeks, view booked and unbooked Booking Slots, accept or decline bookings, and interact directly with people who booked you.
  • Booked Booking Slots: These appear with a ticked-calendar icon and show the name of the person who booked you. Clicking them reveals full appointment details.
  • Unbooked Booking Slots: These appear grayed-out and can be removed from your calendar by clicking them.
  • Automatic vs Manual Acceptance: A Booking Type option that determines whether booking requests are automatically accepted or whether you prefer to manually approve each booking. You can switch this on or off for a Booking Type on the Booking Type tab, even if you have already published Booking Slots and had people book you.
  • Make-a-Booking page: This is the page that people visit when they click your Booking Link. It shows only the dates and Booking Slots associated with the specific Booking Type you selected. To access your Booking Links go to the Bookings Setup page, click the Booking Links Dashboard tab and view the scrollable list of Booking Links.

The high-level view is that there are two main pages that you, as Calendar Owner, will access when dealing with the Book-Me feature and these are accessed from the Menu page or via the Menu dropdown:

  • (1) 'Bookings Setup' page: This is where you go to set up all of the information required to have people book you online. The page has four tabs, one of which is a 'How-To' tab, which is well-worth taking a look at before you start with this feature.
  • (2) 'My-Bookings' page: This is where you go to view your eezySchedule online calendar. It allows you to move between dates in the calendar, view details of all bookings, manually accept bookings requiring manual acceptance and to decline appointments or communicate directly with persons who have booked the appointments.

There is a third page in the Book-Me feature and this is where persons wishing to book you will go to make bookings:

  • (3) 'Make-a-Booking' page: This page is where people make bookings with you when you email them a so-called 'Booking Link'. It presents only the set of dates that you wish them to see and only the specific meeting / appointment type for which they will book you.

All three pages are unpacked, one by one and their terminology explained, in subsequent answers.

'Bookings Setup' page (has 4 tabs)

  • The 'How-To' tab explains succinctly how to use the Book-Me feature and provides a couple of 'Case Study' examples to help walk you through the steps. Once familiar with these steps, you will be able to then interact confidently with the other three tabs, so please read this one first, it is not too long!
  • Booking Types are simply the meeting or appointment types that you wish to have people book you for. Think of them as the 'email subject' (that quickly explains what the meeting is about) that you would put in an appointment email. Examples could be 'Sales Manager Interview', 'Weekly Sales Update', 'Budget Meeting', 'Student One-on-Ones' etc. Booking Types are created, edited and deleted on the Booking Types tab and there are several options that you can set for each (see 'Booking Type options' below).
  • The 'Calendar Setup' tab is where you take your Booking Type (e.g. 'Sales Manager Interview'), select 1 or more dates (e.g. Wednesday to Friday of next week ) and then place timeslot options (e.g. 10.00-12.00, 12.00-14.00, 14.00-16.00) onto the dates. The timeslot options that you add to your dates are referred to as 'Booking Slots' and, when someone books you, they would select their preferred Booking Slot and submit a booking for it. Selection of the Booking Type and Dates to use is made on Step 1 of the Calendar Setup tab and addition of Booking Slots happens on Step 2 of that tab.
  • Booking Type options include optional pre-setting of the Meeting Description, Venue and Google Maps address as well as indicating whether a person can book more than one Booking Slot per booking submission. You can also set whether booked Booking Slots should be forced to be back-to-back and, importantly, whether you want to have all booking requests automatically accepted for you or whether you wish to reserve the right to manually accept booking requests.
  • Booking Slots are the timeslot options that you present to the person wishing to book you that indicate which times are open in your calendar for them to book. They are added to your selected dates using the 'Timeslot Picker' panel on the left side of the page on Step 2 of the Calendar Setup tab. You can adjust the duration of the timeslots as well as their time-spacing.
  • Timeslot 'Fill' is a toggle switch option on Step 2 of the Calendar Setup tab which, when switched off allows you to add timeslots one at a time to the dates but which, when switched on, automatically adds a timeslot at your chosen time along with back-to-back timeslots from that time through to the end of the day, hence enabling a quick way to fill a time period with multiple timeslots from a single click. You can choose to have this switch on or off by default on page-load by editing its setting on the Setting page's Book-Me tab in the Bookings Setup page's section.
  • Timeslot 'Clone' is a toggle switch option on Step 2 of the Calendar Setup tab which, when switched on, automatically clones the clicked timeslot added to one date to all other dates, hence enabling a quick way to add the same timeslot to every day with just a single click. You can choose to have this switch on or off by default on page-load by editing its setting on the Setting page's Book-Me tab in the Bookings Setup page's section.
  • Booking Links are the website links that you present to people to click on to make a booking in your eezySchedule calendar. They are generated on Step 2 of the Calendar Setup tab after you have finished adding Booking Slots to your dates by clicking the 'Create Booking Link' button.
  • The 'Booking Links Dashboard' tab is where you can view all of the Booking Links that you have historically created so that you can retrieve their website address, preview what you clients will see and view statistics to see how well that Booking Link is performing.
  • Booking Links with 'Fixed Dates' are Booking Links where the person will only ever be able to see the exactly same set of dates, no matter on what date they visit the link. E.g. you might wish to show dates on your calendar only for and, whether they visit the Booking Link today, next week or three months from now, only the dates should ever be viewable.
  • Booking Links with 'Rolling Dates' are Booking Links where you set a generic date pattern (e.g. 'Current Week', 'One Week - Starting Today', 'Current Month' etc) and, whenever someone visits that link, the displayed dates will match the selected pattern.
  • 'Current' versus 'Expired' Booking Links - Current Booking Links are those where, if someone were to view your calendar at that Booking Link, today's date would be one of the dates displayed whereas Expired Booking Links are those where all the dates are in the past. It therefore follows that Booking LInks with 'Rolling Dates' can never expire. You can see which Booking LInks are current or expired using the options at the top of the Booking Links Dashboard tab.
  • The 'Date Selection Approach' option on Step 1 of the Calendar Setup tab is where you will find the option to select dates either manually ('Use Date Picker') or to match a date pattern (e.g. 'Current Week', 'Current Month' etc).

'My-Bookings' page

  • The 'My-Bookings' page is where you view & interact with your eezySchedule calendar.
  • Your calendar will be viewable in 7 day date-spans and you can click forward and back through your calendar a week at a time.
  • Booking Slots that are not yet booked will appear grayed-out and, by clicking them, you will be able to remove them from your calendar.
  • Booking Slots that have been booked will appear with a ticked-calendar icon and the name of the person who booked you will be displayed.
  • Booking Slots that have been accepted into your calendar will display with a blue coloration and, by clicking them, you will be able to see full details of the appointment. You will also be able to click and email the client or choose to now decline the meeting. You will be able to provide a message to the client and opt to keep or remove the now unbooked Booking Slot from your calendar.
  • Booking Slots that still require you to manually accept them into your calendar will display with an orange coloration and, by clicking them, you will see the full appointment details and be able to either accept or decline the booking, with the ability to send a message to the client at the same time. Accepting a booking gives you the option to send an appointment file to yourself and the client so that the appointment can also be added to your own, personal Calendar (e.g. Apple, Google, Outlook).
  • Appointment Filter - By clicking the Filter button you can choose to only display appointments that match the Booking Type of your choice.
  • Update functionality - By clicking the Update button you will see your calendar refresh without the need to re-load the page.
  • 'Weekends' Toggle Switch - By toggling the Weekends switch you can choose to either display weekend dates or not. The week days that are classified as weekend days can be set on the Settings page in the Time tab. You can choose to have this switch on or off by default on page-load by editing its setting on the Setting page's Book-Me tab in the My-Bookings page's section.
  • Search functionality - By clicking the Search icon you can enter a search term and only appointments matching the search term will be displayed. An example of its use would be to search for a particular person's name and only display the appointment with them.
  • Daily Itinerary - If there are booked appointments on a day, an envelope icon appears at the top of the date column and, by clicking it, you can opt to receive a summary email of that day's appointments.
  • Timezone handling When you first signup with eezySchedule you will have been asked to set your timezone as a first step and your calendar is then set to that timezone. When adding Booking Slots on the Calendar Setup tab of the Bookings Setup page, your calendar will be displayed in the same timezone. When people visit one of your Booking Links, they will initially view your calendar in that timezone but will have the option to change the timezone and hence view the appointments in the timezone of their choice.
  • Daylight Saving - Days affected by changes in daylight saving will see the three-letter-acronym for the timezone displayed on all Booking Slots for that day so that it will be clear to you exactly when the meeting will take place, no ambiguity!
  • Clicking of the forward & backward arrows sees your calendar move appropriately forward & backward, a week at a time. Each click will download the new week's appointments in the background and, depending on your internet connection's bandwidth, you can opt to increase or decrease the number of weeks of extra data that is downloaded on both page-load as well as during page-use (see the My-Bookings page section of the Setting page's Book-Me tab in order to edit these settings).

'Make-a-Booking' page

  • The 'Make-a-Booking' page is where people go to book you and they access the calendar by clicking on a Booking Link provided by you.
  • Viewable dates & Booking Slots - Only dates selected by you in the process of creating the Booking Link will be displayed and only Booking Slots of the Booking Type that you selected when creating the Booking Link will be visible. This ensures you fully control what the person can see. So, if you had Booking Slots for a different Booking Type in your calendar on these dates, they would not be visible.
  • Timezone handling - On page-load the Booking Link displays your calendar in your default timezone but the option to change timezone is available so people can choose to view the Booking Slots in their own timezone. They will receive email communications of the appointment in their timezone and you will receive them in your timezone.
  • How to make a booking - The person would click the Booking Slot(s) of interest, click the 'Make A Booking' button and then enter their name, email and optional details such as their telephone number, company name and a message.
  • If the Booking Type is set for automatic acceptance, you and them will immediately receive an email confirming the appointment with a calendar file attached. Clicking the calendar file allows you to add the appointment to your own, personal calendar (e.g. Apple, Google, Outlook).
  • If the Booking Type is set for manual acceptance the person will see an on-screen message alerting them to the fact that the appointment is reserved for them but has yet to be accepted by you. You will receive an email alert informing you of the need to go assess the booking request and to make an accept / decline decision.
  • Booking Cancellations by the client - These are possible if the client clicks the same Booking Link as they used when making the booking. They need to scroll to the bottom of the Make-a-Booking page, click the 'Cancel Previous Booking' button and then enter the two codes that they received in the original appointment email. Without these codes they will need to contact you on email to request cancellation and you can then go to your My Bookings page, locate the appointment, click it and opt to decline it.

No - at no time does your personal calendar get shared online because it is not in any way connected to your eezySchedule account.

  • Only your eezySchedule calendar is shared with people looking to book you, an approach that provides significant privacy benefits to you.

Instead, you make use of the so-called Booking Links

  • A Booking Link is a website address that gets sent to anyone looking to book you or included in your email or social media posts which, when someone visits it, allows them to see which timeslots you have open in your online calendar for them to book.
  • Booking Links only show the dates you want the person to see at that Booking Link and only shows the Booking Types you choose for them to see at it.
  • For this reason, Booking Links are created on Step 2 of the Calendar Set Up tab on the Bookings Set Up page, which you can only reach if you have already selected a Booking Type and set of dates => look for the 'Create Booking Link' button at the top right of Step 2.
  • Note that Booking Links can be viewed / managed on the 'Booking Links Dashboard' tab of the Bookings Set Up page and, from there, you can add more Booking Slots to be viewed at a Booking Link or even delete (switch off) an existing Booking Link.

By design, these two calendars are completely separate for privacy reasons.

  • Your eezySchedule calendar is housed entirely within the eezySchedule site and is only viewable online by others when they click a Booking Link provided by you to them. Even then, only unbooked Booking Slots on the dates, and of the Booking Type associated with the Booking Link, will be visible.
  • Your own, personal calendar (e.g. Apple, Google, Outlook) remains separate from your eezySchedule calendar and is managed independently by you as you have always done.
  • This complete separation between calendars is one of many compelling reasons for people to use eezySchedule for their appointment scheduling needs.

  • Booking Links only show the dates you want the person to see at that Booking Link and only shows the Booking Types you choose for them to see at it.

By clicking the appointment file attached to the email alert you receive from eezySchedule when the booking is accepted by the Calendar Owner (either automatically or manually).

  • When a booking request is submitted via one of your Booking Links and the booking is accepted by you as Calendar Owner, both yourself and the person who made the booking will receive an email with an appointment file attached to it.
  • Clicking the attachment will ask you if you wish to add it to your own, personal calendar (e.g. Apple, Google, Outlook).
  • This approach is taken to allow complete separation between your personal calendar and your eezySchedule online calendar so that, at no time, can your personal calendar get viewed by others online.

The difference between Automatic & Manual appointment acceptance is:

  • Automatic acceptance is when you and the person booking you, immediately, at the time of booking, receive a confirmation email that the requested Booking Slot was accepted by you and can be added to your personal calendars. i.e. the system accepts appointment bookings on your behalf without you needing to click acceptance.
  • Manual acceptance is where you and the person booking you, at the time of booking, get an alert to a requested booking but nothing is confirmed until you first go and manually accept the booking in your eezySchedule online calendar (on the My-Bookings page).

How to control Automatic versus Manual Acceptance

  • This is a property of the Booking Type and hence, when you create a new Booking Type (or go back and edit one later), you will have the option to set a Booking Type as being either Automatic or Manual.
  • Remember that 'Booking Types' are your different meetings that you're looking for people to book you for.

Automatic Acceptance

  • Automatically accepted appointments result in a calendar appointment file being immediately emailed to you and the person booking you at the time that the person submits the booking. You can then go and add the appointment into your own, personal calendar (e.g. Apple, Google, Outlook) by clicking the appointment file attached to the email alert you receive from eezySchedule.
  • It's therefore taken as a done-thing that, as soon as the person submits the booking, you have accepted the appointment and the meeting will take place.
  • If you later decide you'd rather change this behaviour, you can simply go edit it on the Booking Types tab (under the 'Bookings Setup' Menu option) by editing the relevant Booking Type. Anyone trying to book you after the change will immediately experience the new behaviour.
  • Setting Booking Types to automatically accept bookings puts your whole booking process on auto-pilot and you just need to (i) monitor the email alerts that you will receive, and/or (ii) visit your My-Bookings page, to see which appointments are coming up in your calendar at any stage.
  • Remember that you will always receive an email notifying you of accepted appointments and, by clicking the appointment files attached to those emails, you will have a record of your appointments always visible in your own, personal calendar.

Manual Acceptance

  • Manually accepted appointments require you to manually check the submitted appointment requests on your My-Bookings page to decide whether or not you wish to accept or decline them.
  • Appointments are therefore considered to be in a 'pending state' until such time as you manually accept them. i.e. it's implicit that a meeting has not yet been confirmed as taking place.
  • The fact that the appointment has not immediately been accepted is communicated to the person booking you (i) on-screen at the time of the booking as well as, (ii) in the email alert that you both receive after the booking request is submitted.
  • If you later decide you'd rather change this behaviour, you can simply go edit it on the Booking Types tab (under the 'Bookings Setup' Menu option) by editing the relevant Booking Type. Anyone trying to book you after the change will immediately experience the new behaviour.
  • Setting Booking Types to manually accept bookings ensures that you filter out bookings that you do / do not wish to accept and puts you in full control of which appointments will go ahead.
  • What is crucial to understand with manually accepted appointments is that you need to go check your My-Bookings page for any pending appointments. You will receive email instructions at the time of booking informing you of the need to check the My-Bookings page and it will be up to you to ensure that this happens.
  • There is therefore a small measure of risk with the manual acceptance of appointments in that you could miss a booking request if you're not keeping an eye on the list of pending appointments.

How do I manually accept pending appointments?

  • To inspect a booking request requiring manual acceptance is simple to do as the appointments appear in your eezySchedule calendar (viewable on the My-Bookings page) in an orange color and you can either process the booking request by clicking the orange Booking Slots or you can click the orange Manual Acceptance icon on the top left of the My-Bookings page.
  • Clicking this icon opens a searchable list of all appointments waiting for manual acceptance and you can choose to accept or decline appointments, email the person who submitted the appointment etc.

Yes, people can always cancel the appointments that they have made with you, irrespective of whether the booking request is subject to automatic or manual acceptance.

  • They need to go back to the Booking Link that they used originally to make the booking and look for the red 'Cancel Previous Booking' button at the bottom of the page.
  • After clicking this button they will be asked to enter the two codes that were in the appointment email that they received at the time of making the booking.
  • If they do not have this email they will need to contact you the traditional way!
  • As part of the cancellation process they will be emailed a security code so as to ensure that the person handling the cancellation is the owner of the appointment in question.
  • Email alerts to confirm the cancellation will immediately be sent to the Calendar Owner and person who booked and the Booking Slot in question will immediately be available for someone else to book.

There is no need to block out unavailable times as you simply do not add Booking Slots for these times when adding possible meeting times to your calendar.

  • Anyone viewing your eezySchedule calendar at a Booking Link will simply not see any appointment options at these times because you never added them in the first place.

Yes, you will always receive email notification immediately when a booking is made or cancelled.

Yes — they would need to first follow the cancellation process (see above) before going back to the Booking Link and submitting a new booking for their preferred time.

Not at this stage but it will be possible in future.

Yes, this is possible if the Calendar Owner sets it up when they create the Booking Type

  • When creating or editing an existing Booking Type (on the 'Booking Type' tab of the 'Bookings Setup' menu option) look for the option for 'Allow Multiple Bookings'.
  • If this is switched off, when a person books, they will only ever be able to book a single Booking Slot in a single booking submission.
  • If this is switched on, the Calendar Owner gets to decide (i) whether such bookings need to be back-to-back in the calendar and (ii) how many Booking Slots can be booked in one booking submission.
  • The use-case for this is where you wish to permit people to decide themselves, within limits, how long to book you for.
  • E.g. a Professor wishes to allow students to book time in her diary proportionate to the topic being discussed. In such a case the Professor could create a Booking Type called 'Student One-on-Ones' and proceed to add a series of consecutive 15-minute long Booking Slots to the calendar, setting 'Allow Multiple Bookings' to 'On', setting the maximum number of bookings to '3' and setting 'Only back-to-back bookings' to 'On'. Hence students could choose to book a single 15 minute Booking Slot, two back-to-back Booking Slots to make a 30 minute appointment, or 3 back-to-back Booking Slots to make a 45 minute appointment etc.
  • If the student or Professor wishes to cancel one or more of the Booking Slots they can do so whilst leaving the other Booking Slots unaffected. E.g. the Professor feels a particular student, who booked a 45 minute set of appointments, only actually needs 30 minutes for the topic under discussion and hence can go cancel one of the 15 minute Booking Slots, leving the other two in place.

Subscription Payments

Subscriptions can be signed up for via an automatic debit process using a credit card or via a manual process in which you will receive invoices to be paid via bank transfer, the choice is yours (see the Pricing & Features page in order to sign-up).

You have the choice of either monthly or annual payments:

  • Monthly payments are payable on the monthly anniversary date of your initial sign-up. So if you originally signed-up on the 10th of the month, your billing dates in subsequent months will also be the 10th.
  • Annual payments also run on the anniversary date of your initial sign-up. Annual payments are very cost-effective in that you essentially pay for 10 months and get 2 months free!

In order to change your Subscription Plan, e.g. from a Standard Plan to the Business Plan, you have two options:

  • (A) Start the new Subscription when the current Subscription Period ends (which you can entirely run by yourself without the need to contact our Support Desk) or;
  • (B) Start the new Subscription Plan with immediate effect, i.e. before the current Subscription Period ends (which will require you to contact our Support Desk where we will happily assist you in the process).

(A) To start the new Subscription when the current Subscription period ends:

  • This option requires you to cancel your current Subscription Plan and then, when your account access stops at the end of your current Subscription Period, you simply sign-up for the new Subscription Plan and you will immediately be good to go with the new Subscription Plan. You can do this entirely by yourself, without needing to contact Support.
  • The first step is to login to eezySchedule and visit your Account page.
  • Scroll down to the 'Subscription Management' section and click the 'Load Subscription Data' button, it will load all of your Subscription seats.
  • A new button will appear after the list of Subscriptions named 'Manage Subscriptions', click it and you will be taken to a secure page on the (payments service provider's) Paddle website.
  • Locate the current Subscription that you wish to cancel, click it and then select 'Cancel Subscription'.
  • This will cancel your Subscription Plan as of the end of your current Subscription Period and hence the current Subscription Plan will remain active from now until the end of your current Subscription Period.
  • When you reach the current Subscription Plan's end-date you can proceed to the Pricing & Features page and sign-up for the new Subscription Plan using the same email address as your original Subscription.
  • The purchase step is best done whilst logged-in to eezySchedule because the correct email address will automatically be populated for you and the new Subscription Plan will be directly linked to the same eezySchedule account with all of your current data visible.
  • Should you sign up with a different email address it will guide you to set-up a new eezySchedule User Account and your current data will not be visible in that User Account.

(B) To start the new Subscription Plan as soon as possible (before the current Subscription Period ends) (allow up to a day to process the change):

  • This option requires eezySchedule to cancel the current Subscription Plan for you and to immediately start you on your new selected Subscription Plan.
  • Login to eezySchedule and visit your Account page.
  • Scroll down to the 'Subscription Management' section and click the 'Load Subscription Data' button, it will load all of your Subscription Seats.
  • In the table that appears, select the Subscription Plan that you wish to cancel and click the Subscription Number for that Subscription Plan in the first column of the table (a pop-up window will then appear with details of this Subscription).
  • Scroll to the bottom of the pop-up window and click the 'Email Support' button. This will open an email in your email software that is pre-populated with all of the information that we need to identify you as a customer and the specific Subscription Plan you have selected.
  • In the email you will see space for you to type your request, then click send.
  • Our Support Desk will be in touch via email to arrange the Subscription switch-over with you.

How are any additional fees or credits handled?

  • If you move to a new Subscription Plan that costs more per month, your preferred payment method will immediately be charged the pro-rata amount of the increase for the current Subscription Period.
  • If you move to a new Subscription Plan that costs less per month, any pro-rata credit owing for the current Subscription Period will be offset against your next monthly payment.

Subscriptions can be cancelled by you, at any time, and the cancellation will be effective as of the end of the current Subscription Period:

  • Login to eezySchedule and visit your Account page.
  • Scroll down to the 'Subscription Management' section and click the 'Load Subscription Data' button, it will load all of your Subscriptions.
  • A new button will appear after the list of Subscriptions named 'Manage Subscriptions', click it and you will be taken to a secure page on the (payments service provider's) Paddle website.
  • Locate the Subscription that you wish to change, click it and then select 'Cancel Subscription'.
  • This will cancel your Subscription as of the end of your current Subscription period and hence the current Subscription will remain active from now until the end of your current Subscription Period.

When a Subscription ends, all of your data remains on eezySchedule for a period of at least three months, after which it may be removed as part of our regular maintenance processes.

Signing up for a new Subscription before the three month period ends will allow you full access again to your data.

Yes, eezySchedule allows you to buy more than one Subscription Seat at a time and to buy more Subscription Seats after your initial purchase.

  • When signing up for a Subscription plan on the Pricing & Features page you can opt to buy multiple seats on that Subscription.
  • By logging in to eezySchedule, visiting your Account page and clicking the 'Load Subscription Data' button, you will then be able to view all of your Subscription Seats in a table format.
  • By clicking the Subscription Number in the table's first column you will be able to allocate each Subscription Seat to a different email address and that person will then receive a notification email from eezySchedule telling them that you have allocated a Subscription Seat to them. They will immediately be able to use such seats.
  • Persons without an eezySchedule User Account will be given instructions on how to sign up for a User Account so that they can use the Subscription Seat and you will be copied on such emails.
  • As a use-case, one person in a team or company could purchase multiple seats and allocate them to people they work with, controlling all seat allocations from a central place and consolidating subscription payments into a single amount each month or year.
  • Should you wish to consolidate seats into a single Subscription, please contact our Support Desk with your request.

Extra seats can be added to your account by either:

  • Adding seats to an existing Subscription (which the Support Desk would need to do for you), or;
  • Adding a new Subscription to your account with the new seats added to it (which you can do by purchasing a new Subscription using the same email address as your other Subscription and you can do this yourself).

To add or remove seats to/from an existing Subscription

  • This requires assistance of the eezySchedule Support Desk.
  • First, login to eezySchedule and visit your Account page.
  • Then, scroll down to the 'Subscription Management' section and click the 'Load Subscription Data' button, it will load all of your Subscription seats.
  • In the table that appears, select the Subscription that you wish to conduct a change on and click the Subscription Number for that Subscription in the first column of the table (a pop-up window will then appear with details of this Subscription).
  • Scroll to the bottom of the pop-up window and click the 'Email Support' button. This will open an email in your email software that is pre-populated with all of the information that we need to identify you as a customer and the specific Subscription you have selected.
  • In the email you will see space for you to type your request, being clear about how many seats you either wish to add or remove, then click send.
  • Our Support Desk will be in touch via email to arrange the changes with you.

To add seats to your account by purchasing an additional Subscription:

  • Go to the Pricing & Features page and sign-up for a new Subscription using the same email address as your current account (used to login).
  • If you are already logged in, it will use your existing email address automatically.
  • Follow through with the purchase process and, once done, visit your Account page and click the 'Load Subscription Data' button.
  • A table appears showing your Subscriptions and, by clicking the Subscription Number in the first column of the table, you will be able to allocate the seats to whoever you wish.

Yes, you can login on up to four different browser / device combinations at one time so as to allow you to stay logged in across your daily workflow of devices:

  • It is anticipated that you will typically have up to four devices being used in a typical day such as a work laptop, a mobile phone, a tablet computer and a home laptop.
  • If you login to eezySchedule on say your work laptop using Google Chrome, that counts as one of your four browser / device combinations.
  • If you then login on your phone, that device / browser combination would count as the second of your four browser / device combination
  • A device / browser combination is defined as one browser login on one device. So if you logged in to eezySchedule on two different browsers on the same device, that would count as two of your four logins.
  • Your list of device / browser combinations are displayed on your Account page under the Devices section.
  • If you try to login on a fifth device / browser combination it will direct you to your Account page's Devices section for you to select one of the existing four logins to remove. You will then be able to continue using eezySchedule on your newest browser / device combination.

  • Payments get charged against whichever payment method you have selected upon sign-up and these use the payment information stored for your account with Paddle.
  • To update your payment method with Paddle, go to the Account page and look for the 'Payment Details' section.
  • Should your saved payment method's validity date expire, you would receive communications directly from Paddle informing you how to update your saved details. Or just go to the Account page and look for the 'Payment Details' section.

When working with polls

  • You have the option to decide if you wish to receive email notifications whenever someone votes on one of your polls.
  • This is controlled by the 'Poll Email Alerts' switch on Step 3 while creating a poll.
  • It can also be switched on/off on a poll-by-poll basis after a poll has already been created by visiting the Poll Dashboard page, locating the specific poll, opening its information window (by clicking its 'eye icon'), clicking 'Quick Edit' and toggling the 'Email Alerts' switch.

For the Book-Me feature

  • Email notifications are sent whenever a booking is made or canceled, or when a booking is manually accepted or later declined. As these emails contain important information about the specific bookings involved, all parties are copied for clarity & transparency.
  • With such emails containing appointment files as attachments, not receiving such emails would mean the quick addition of appointments to your own, personal calendar, becomes a manual affair and hence, to speed this up, such emails are always sent.
  • However, when working with your Calendar on the My Bookings page, certain email notifications can be opted in/out of on a case-by-case basis, e.g. when manually accepting a booking and when later declining a booking you previously accepted.
